How to Track Who Owes What in a Group

Record every payment
Every shared payment should have a date, amount, payer, category, and participant list. This creates a reliable transaction history and prevents forgotten expenses from appearing during final settlement.

Calculate balances from transactions
A person’s balance should reflect both what they paid and what they were responsible for. Someone who pays several large bills may be owed money even if they also have personal expenses.
Avoid manually editing balances without preserving the underlying transactions.
Keep reimbursements separate
When someone repays another participant, record the repayment separately from the original expense. This preserves the history and prevents the original cost from being counted twice.
The resulting record should make it possible to understand why a balance changed.
Settle clearly
At the end of a trip or billing period, summarize who owes money, who should receive it, and which expenses contributed to the balance.
Clear settlement information reduces back-and-forth messages and makes corrections easier if someone spots an error.
