Create a trip expense structure
Before the trip, create categories for accommodation, transportation, food, activities, and miscellaneous costs. This helps the group estimate the total trip cost and compare it with actual spending.
Do not assume every expense is shared equally. A private activity or optional upgrade should be assigned only to the people who chose it.
Track payments as they happen
Record an expense when someone pays instead of waiting until the end of the trip. The longer you wait, the more likely receipts and memories will be incomplete.
For cash purchases, record the amount, payer, purpose, and participants immediately.
Handle mixed participation
If four people share a taxi but two people skip an excursion, those costs should have different participant lists. The same principle applies to meals, rooms, and rental equipment.
A good system calculates each person’s share from the participants rather than forcing the whole group into one equal split.
Review before the trip ends
Do a short expense review midway through the trip and again before returning home. This catches missing payments and gives the group a chance to correct mistakes while receipts are still available.
The final settlement should show a clear balance for each participant and the transactions that produced it.
